Summary Kaiser Permanente-Washington Permanente Medical Group is seeking a Full Time 1.0 FTE Recruiting Coordinator to join our WPMG HQ team in Renton, Washington. Job Summary The Recruiting Coordinator is a front-line member of the recruiting team responsible for administrative aspects of the medical staff and administrative recruiting. Under supervision and guidance of the recruiter, provides administrative and recruitment support to assigned professional recruiter/s or recruitment specialist/s to fill vacancies in WPMG, Washington State Region. Principal Duties and Responsibilities Communication - Ability to interact with all levels of staff utilizing excellent interpersonal skills

- Ability to maintain confidentiality of sensitive data
Interview Coordination - Responsible for coordination's all the aspects of interview scheduling process and helping to ensure that is a positive interview experience for our customers.
- Schedule initial phone call between candidate and Physician Leadership
- Get dates from candidate and work with Physician Leadership to schedule in person interview, as requested
- Collect pre-application paperwork and load into candidate's profile in UltiPro prior to interview
- Make travel arrangements and communicate details to candidates in a timely manner.
- Work with clinic teams and Physician leadership to create an interview schedule.
- Facilitate ordering of interview meals, not limited breakfast and/or lunches.
- Make dinners reservations for interviews.
- Send out communication to the candidates and the interviewing teams with the details about the formal interview day.
- Submit dinner reimbursements from the Physician leadership after interview is complete.
- Send reference list and reference forms to Chief prior to job offer.
- Collect completed references and save to providers file in UltiPro.
- Back-up for interview when Recruiter is unable to attend.
UltiPro/Recruiting Software Utilization - Enters applicant information in the recruitment databases as needed.
- Documents and tracks applicant activity in database.
- Records applicant disposition information and disposition reason for offers or declines.
- Enters required information when job offer is extended, accepted and job is filled including anticipated start date.
- Closes out requisition when job is filled. Records reasons why candidates were not selected and/or declines and offers.
Partnership - Develop effective working relationships with Recruiting Team Members, Clinical leadership and Clinical Operations Managers to support business objectives
- Works with other members of the team in an efficient, highly productive manner
- Works with both WPMG and KPWA employees to support the Recruiting team functions.
On-Boarding Support - Print initial application paperwork and create brown files for each candidate
- Request photos from new providers and order badges
- Request lab coat sizes from new providers and order lab coats.
- Additional support as needed
Support for Recruiting Leadership and Recruiting Team - Schedules meetings for Director of Talent Acquisition, Recruiting Manager and Medical Director of Recruiting and Retention
- Make meeting arrangements, not limited to, but may include, room reservations, ordering food and printing materials.
- May perform administrative duties in support of the department and/or provide direction to non-exempt, temporary and/or entry level department staff engaged in administrative duties.
Miscellaneous - Other duties as assigned including cross training.
- Provides back-up to other team members.
- May participate on special projects, process improvement initiatives, etc. when appropriate.
